Use these steps to manage your Distrib

Communication INI Entries

Use these steps to set up REF IDs for inbound and outbound client documents.                       .  Steps

 

 

Note:  Special authorization is required to ADD or UPDATE entries.  Basic authorization is VIEW only.

Authorization Category:  viaLink Administraton (VLADMIN)

Permission:  Comm. INI Data Maintenance (COMINIDATA)

Follow these steps:

 

 

From the Data Admin window:

  1. Click Manage Distribution Lists.  

  2. Select the Application from the drop-down (if it appears).

Advanced Commerce for SBT, DBT and other Documents, Invoices, Reports, and Alerts.

Item, Cost, and Promotion for sync-based exports, including Item Offer Reports / Acknowledgements, Promotion Reports, Cost Book and Item data.

  1. Click Find to ensure it hasn't already been set up.

You can enter part of a Distribution List Name to help locate the list.  Use asterisks as wild cards.  Or select other Distribution List criteria .

  1. Review the list table and verify that the desired list doesn't already exist.

You can select a list and click Update to view or change the recipients.

  1. If a new list is needed, click Add.

  2. Enter the new Distribution List Name.

  3. Select the first Person to include and click Add.

  4. Continue with the next Person as needed.

  5. Click Save.

  6. Follow the steps below for your list type.

 

If your list is for Item, Cost, and Promotion

  1. Contact Prescient Client Support at ACSupport@prescient.com.

  2. Request to have the desired report, etc. assigned to your new list.

 

If your list is for Advanced Commerce

At least one Document Schedule must be added.  The Document Schedule determines which Documents are sent and when they are run.  For more information see Work with Document Schedules.

  1. With the new list Name selected, click Assign To Document Schedule.

  2. Use the Assign Schedule drop-down list to select the desired Document Schedule.

  3. Click Preview Associated Documents.

  4. Review the list, clicking Back when complete.

  5. If this is the desired Document Schedule, click Assign Schedule.

  6. Otherwise, select another Document Schedule and Preview as above.  Click Assign Schedule when done.

  7. Click Back when the desired schedules are assigned.

Update a Distribution List -- Change a list's name

Sometimes a list must be renamed to better identify its purpose and recipients.  

Note:  If you simply need to update the recipients, see View, Add, or Delete the people assigned to a Distribution List.

 

From the Administration window:

  1. Click Manage Distribution Lists.  

  2. Select the Application from the drop-down (if it appears).

  1. Click Find.

  3. Enter the new Distribution List Name.

Delete a Distribution List

Use these steps to remove a Distribution List that has become obsolete.  

Notes:

 

 

From the Administration window:

  1. Click Manage Distribution Lists.  

  2. Select the Application from the drop-down (if it appears).

Advanced Commerce for SBT, DBT and other Documents, Invoices, Reports, and Alerts.

Item, Cost, and Promotion for sync-based exports, including Item Offer Reports / Acknowledgements, Promotion Reports, Cost Book and Item data.

  1. Click Find.

You can enter part of a Distribution List Name first to help locate the list.  Use asterisks as wild cards.  If desired, select other Distribution List criteria . Clicking Find by itself displays all lists.

  1. Select the list Name.

  2. Click Delete.

If Error! Current selection cannot be deleted displays, either a Schedule must be unassigned from the list first OR the list contains a Prescient Administrator and you must contact Prescient Client Support to have it deleted.

Otherwise, you are prompted with "Are you sure.....?"

  1. Click Yes to delete.
