Manage Scan-Back Promotions

Scan-Back Promotions (SBPs) are a simple method for temporarily lowering the PTC (Price to Consumer) of selected items in one or more stores.  They do not lower the distributor's PTR (Price to Retailer).  Instead, Coors Brewing calculates how many items are sold and applies the amount off towards advertising costs, promotional costs, or other business processes.

Please be aware that only a limited number of states allow promotions of this type.  When adding a new promotion, store choices are limited to stores within those states.

View existing SBPs

From the distribuLink main menu, under VMP:

  1. Click Manage Scan-Back Promotions.

  2. Enter the Start On or After date on which the promotion will be (or was) active.  Today's date lists all current and future promotions.

Enter dates in the format mm/dd/yyyy or mmddyy.

  1. To view the details, click the promotion's Effective Period.

Add a new SBP

Follow these steps to add a new Scan-Back Promotion.

A. Add the basic setup

 

  1. Click Add.

  2. Enter the Effective Date.

Date the promotion begins.  Enter dates in the format mm/dd/yyyy or mmddyy.  This can be today or a future date, but cannot be more than 120 days in the future.

  1. Enter the End Date.  

When the promotion will end.  The effective period (Effective Date to End Date) cannot exceed 120 days.

  1. Enter the Promotion amount off to apply to the PTC of each item.  

    • This can be a dollar amount or a percent off.  Do not enter a currency symbol or percent sign.  For example, enter $1.50 as 1.50 or 5% as 5.

    • Dollar amounts must be greater than 0.00 but less than 5.00.  Percentages must be greater than 0 but less than 100.  (A warning appears if you exceed these limits, but you are not restricted from proceeding.)

  1. Select the type Off - $ or %.

  2. Optionally enter a brief Description of the promotion.

  3. Click Proceed with Store Selection.

B. Select the Stores

  1. Enter criteria to locate the distributor.  You can use asterisks as wild cards.  For example, enter 400*.

  • Distributor Number - Identifier used by Coors Brewing.

  • Retailer Vendor Number - Retailer's ID for the distributor.

  1. Click Choose and select the distributor (if more than one appears in the drop-down list).

  2. Select the Store State.  

Limited to states that allow scan-back type promotions.

  1. Click Find.  

All stores assigned to the distributor in the selected state display.

  1. Select from the Available Stores and click >.

  2. Click Proceed With Item Selection.

C. Select the Items

  1. Select the UPC Type/Format of the items you will enter.  

  2. Enter the sell unit UPC of each promotion item.

Do not enter dashes.  Number of digits must match the UPC Type/Format.  For example, a 1-5-5-1 Format has twelve digits.  Enter 0-44444-33333-2 as 044444333332.

Note:  Items entered do not have to be authorized in all stores included in the SBP.  However, they must be authorized in at least one store.

  1. Click Validate.  Each item's description appears to the right.  

If errors display, correct the UPC or ensure the Type/Format is correct.  Please note that only items authorized in on or more stores can be included.  The application will not allow you to save until the items pass validation.

  1. Click Save.

Update an SBP

As long as a promotion is not over, you can make limited changes to an SBP's effective period, amount or percent off, type, and description.  Restrictions are based on the current date, the Effective Date, and the End Date.

  • Current promotions (in effect now) can be extended or shortened by changing the End Date.  You also change the Description.  No other information can be changed.

  • For future promotions (beginning after today), the Effective Date, End Date, Promotion amount, type Off, and Description can be changed if vendor managed pricing that includes the SBP has NOT been exported to the retailer.  Otherwise, only the End Date can be changed.

  • Over promotions (ended before today) cannot be updated.

Please note that Selected Stores and Selected Items cannot be updated.  If these are incorrect, you must cancel the promotion and add a new one.  To cancel a promotion, do one of the following:

  • Change the End Date (current promotions).  To allow time for updates to the retailer's system, the earliest End Date allowed is tomorrow.

  • Delete the entire promotion (future promotions).

 

To update an SBP:

  1. Click the promotion's Effective Period.

  2. Make changes as needed.  Use the notes above as a guide.

  3. Click Save.

Delete an SBP

 

Future promotions can be deleted.  These are promotions that begin after today's date.  Current (in effect now) and past (over) promotions cannot be deleted.  

  1. Select the promotion.

  2. Click Delete.

You are prompted to confirm the deletion.

  1. Click Yes to delete or No to cancel.
