Description |
The description (or name) of an item. Can use any number, letter, or symbol, except an asterisk, up to 45 characters. |
Item Number |
Also called "item order number" or "item ID," this is the item number your company assigns to the product. Use up to 30 characters. |
Code |
The UPC, or if applicable, the EAN, or GTIN code. You can optionally enter dashes. Code must match the type and format on the right. For example: 0-55555-44444 or 05555544444 is UPCA - format 1-5-5 (default). Note that the check digit is calculated automatically after the item is added. See UPCs and other product codes for a guide to selecting the correct type and format. |
Size |
The numeric size of the item. Use the drop-down list to choose the unit of measure, such as ounce, gram, quart, liter, and so on. |
Units per Case |
The number of individual items per case. If there are 24 bottles of water per case, enter 24. |
Packs per Case |
The number of packs per case. If there are four six-packs of water per case, enter 4. |
Units per Pack |
The number of individual items per pack. If there are six bottles of water in a six-pack, enter 6. |
Expand / Collapse Merchandise Category (MCAT) |
If you are set up to include merchandise categories (MCATs), a category list displays. This is not common. You will not see this if you do not use MCATs. Expand the category list and select the lowest applicable category marked with an asterisk. |

Use these fields to enter optional modular, availability date, dimension, and other information. Fields are listed in alphabetical order.

Amount |
Associated with the Pre-Priced check-box, this is the pre-price amount. For example, 1.99. Required if Pre-Priced is checked. |
Basic or Modular |
Select whether the item is a Basic item or a Modular item. Modular items are items that are made up of different basic items, such as a gift pack of mixed items. The items that make up a modular item are called “components.” Each component item has it's own item number and description. Most items are Basic items. |
Available Date |
The date the item will become available to your retailers. Enter in the format mm/dd/yyyy. The date must be today’s date or a future date. |
Brand |
Identifies the manufacturers specific brand code. Note: This field is used only for manufacturer data. |
Color |
A description of the color. |
Cost Unit Code |
Drop-down list used to describe the unit of measure associated with the costing of an item. For example, per pound, per case, per bushel, per liter. |
Coupon Family Code |
The EDI code that designates a coupon family. |
Cube Adjusted Weight |
This adjusted weight is calculated by factoring in the volume of an item. Use with the drop-down list to enter the unit of measure. |
Dated Product Number of Days |
The number of days dated products must "sell by" from the date of manufacture. |
Deposit Value |
The deposit value for returnable containers. |
Detailed Description |
Detailed description of the item. |
First Arrival Date |
The first date the product can be accepted for delivery by the demand-side trading partner. |
First Order Date |
The first date this item can be ordered. |
First Ship Date |
The first date this item can be shipped. |
Gross Weight |
The gross weight of the vendor unit. Use with the drop-down list to enter the unit of measure. |
Height |
The height of the vendor unit. Use with the drop-down list to enter the unit of measure. |
Is Seasonal |
Designates whether this item is a seasonal product, such as Easter candy. |
Issues Per Year |
The number of issues per year for a publication or magazine. |
Last Arrival Date |
The last date the product can be accepted for delivery by the retailer. |
Last Order Date |
The last date this item can be ordered. |
Last Ship Date |
The last date this item can be shipped. |
Length |
The length of the vendor unit. Use with the drop-down list to enter the unit of measure. |
Maximum Order |
This is the largest quantity of an item that can be ordered by a retailer. For example, 1000 for a maximum order of 1000 cases. |
Maximum Ship |
The maximum quantity that can be shipped. |
Minimum Order |
This is the least quantity of an item that can be ordered by a subscriber from the provider. For example, “100” for a minimum order of 100 cases. |
Minimum Ship |
The minimum quantity that can be shipped. |
Net Weight |
The net weight of the vendor unit. Use with the drop-down list to enter the unit of measure. |
Number of Cases / Pallet Layer |
When this item is palletized, the number of cases in a single layer. Used for warehouse, storage, and shipping purposes. Also called "TI." |
Number of Layers / Pallet |
When this item is palletized, the number of stacked layers. Used for warehouse, storage, and shipping purposes. Also called "HI." |
Order Increment |
A provider can require that items be ordered in specific portions or quantities. This field defines the incremental quantities that can be ordered. For example, “10” for increments of 10. The subscriber must order the item in blocks of 10 (such as 10, 20, or 30 cases). |
Order Sizing Factor |
A product specification other than gross weight, net weight, or cubic feet. Utilized for a line item or other transaction for order sizing and pricing purposes. |
Order Units |
This is a value specifying the unit or basis for an order quantity, such as a “case.” |
Packaging Code |
A code describing the packaging for the innermost sellable unit of the item. |
Pallet Exchange Code |
The pallet-exchange method associated with the pallet used to transport the item. |
Pallet Type Code |
The type of pallet used to transport the item. |
POS Description 1 |
A Point-of-Sale description of the item. Because POS systems differ in the character lengths they will accept, two POS fields are available for entering descriptions. A provider can use these fields to enter one long and one short POS description. |
POS Description 2 |
An alternate Point-of-Sale description of the item. |
Pre-Priced |
Check this box to signify that an item is pre-priced. You must enter the number of Units on which the price is based, as well as the price Amount. |
Replaced by Item |
The item order number of an item that can replace this item if it is not available. A substitute item. If present, it must be a valid item in your catalog. For example, if you are out of item 1234, then item 5678 can be used as a replacement. |
Replaces Item |
Used when an item has been replaced (and is no longer sold), this is the item order number of the replaced item. Contrast this with the Replaced by Item field that identifies items that can be substituted . |
Special Handling Code |
Code specifying special transportation-handling instructions. |
Units |
Associated with the Pre-Priced check-box. The number of units on which the pre-price is based. For example, 1. Required if Pre-Priced is checked. |
Volume |
The volume of the shipping configuration for this item. Height x length x width. Use with the drop-down list to enter the unit of measure. For example, 24.5 and Cubic Feet in a pallet load with a volume of 24.5 cubic feet. |
Width |
The width of the vendor unit. Use with the drop-down list to enter the unit of measure. |
Show Consumer Unit Information
Use these fields to enter optional information about the sell unit, such as the consumer UPC or deposit value. They are generally used only when a different description, product code, and other information is required to be associated with an item’s case or inner pack.

Width |
Width of the item's consumer unit. Use with the drop-down list to enter the unit of measure. |
